The Transport Coordinator is responsible for the calculation, planning and follow up his/her shipments until delivery at the requested destination. To accomplish this, it is very important to communicate thoroughly and correct with the different stakeholders (sales, purchase, production planning, warehouse, project managers). In addition, the Transport Coordinator ensures that there is a good team atmosphere and spirit.
A Transport Coordinator is eager to learn every day new things and is willing to share his/her knowledge with the transport colleagues in a pro-active way.
Flexibility as team member is key, as transport planning is the last step before delivery, every transport planner is able to help this colleague in case of illness, holiday or other situations.
What do we expect from you?
What are the main tasks of a Transport Coordinator:
He/she is responsible for transport planning for a Stow affiliate or an HQ customer (key account). In case of HQ customer, the transport coordinator is also responsible for the transport orders towards the transport companies. Transport booking must be done at the lowest cost for the requested service.
According to this loading schedule, each delivery group is divided into one or more deliveries or shipments. The proper composition and ranking of the freights are of high priority to guarantee a fluent start-up and proper functioning of the construction site. He/she creates various deliveries using the required shipment and loading parameters.
In all cases he/she considers the maximum loading capacity when dividing the deliveries over the various days. Communication between warehouse and all transport coordinators is key.
You will inform the affiliate of the transport after the slot booking is finished.
Follow up very closely the status of the shipments to load:
Content of the shipment, will all materials be available on the moment of loading? If not, take action together with colleagues of production/purchase
Arrival of the driver, if a driver is too late, take action in order to check the real time of arrival and communicate with the warehouse.
Arrival of the driver at assembly site, if a driver will be late, inform your colleague of sales and try to inform him/her with a new eta.
Handles complaints in close cooperation with the Branch-, Warehouse- and Quality Department and follows up existing repair forms as not to inconvenience the customer.
Verifies correct execution and verification of the required transport documents. Incl export destinations: invoice, export document, c/o,…
Handle blocked transport invoices.
Handle surcharges related to transport (cancellation, waiting time costs, …). You will inform the Transport Manager of surcharges and decide together if the surcharge is accepted/rejected.
Organizes express shipments, and external storage:
Arranges and follows up express shipments precisely.
Ensures that all transport is carried out at the lowest cost possible. In some exceptional cases, materials are stored externally, also in this case the most optimal and low-cost storage space needs to be found.
Weekly meeting with the transport team to discuss the next week's loading schedule. Number of hours required, tonnage spread per day, complex loads are discussed here.
At regular times, he/she organizes meetings where specific problems and remarks can be discussed and written down in an action point list.

Guides and supports the new transport planners.
Responsible for the part of the training that is described in the training requirements schedule.
What are the needed competences?
A Bachelor's degree in Supply Chain Management or Logistics Management
At least 5 years experience in a transport coordinator or similar role.
